To email a specific event date attendee list, all guests, future guests, or previous guests, follow the steps below:
⚠️Warning: When you contact past guests, you must ensure it's related directly to their booking. If you're looking to contact guests for promotional purposes, you can set up a marketing opt-in which is GDPR compliant.
Emailing within Access Tonic
From your Access Tonic dashboard, click Manage for the applicable event.
Click Email Attendees.
In the To field, select a guest list to contact.
Specific guest list: Pick a specific event date attendee list, either past dates or future dates, and certain ticket types only.
All future guests: All customers with tickets to your upcoming event.
Automated emailing: Schedule an email to send to attendees up to 72 hours before the event takes place. You can specify how many hours before each event date the email sends, with the recipient list being attendees for that event date.
Enter the email subject and message.
Complete the optional steps:
Attach a PDF file to the email.
Select if you want to receive a copy of the email.
To change the email address customers are emailed from, change the email address in the Reply-To box.
Click Send Email.
🤓Tip: To view and pause any scheduled or past automated emails, click the Automated Emailing tab then click Emails Sent tab.
Emailing off platform
Within Access Tonic, you can only contact past ticket holders by event date. To mass‑contact all past customers, you can download the email addresses of past ticket holders in one file and import them into your own emailing tool or CSM system.
To download the email addresses, follow these steps:
From your Access Tonic admin, click Manage for the applicable event.
If you want to download emails across multiple dates, click Transactions within the dark grey banner at the top of the admin.
Click Customer Data.
Use the Event Date filter to enter the past event dates you want to pull data for.
Select Download to export the list of orders, including customer email addresses.
